STAGES OF WEBSITE DESIGN

Please review the infographic below to better understand Web Wisconsin's process and our stages for a website design project. 👇

🎨  PHASE 1: CREATIVE

After discussing the best strategies with your Account Manager for your new project, an initial deposit is made here to begin your project. After some time (roughly 1-2 weeks) from receiving your New Project Form, we meet again to review & approve your creative layout to move forward with your feedback received. Keep in mind that sometimes the start of this process can be expedited if we already have a website concept available for you. After this phase, no additional creative changes can be made without additional costs & time added to complete your project.* Your design balance should be paid in full, and a Layout Approval form (after review) should be signed to move forward to the next stage.

🖥️  PHASE 2: DESIGN

Once the layout is approved and your setup & design fees are taken care of, our team moves on to the design & development phase, which involves detailed content & coding. Please note that the Design phase is the most time-consuming and detailed part of your project, as we want your final review and website to be excellent. Minor changes can still be made such as trading out same-style images, business hours, some text fields, etc. No major design changes can be made in this phase, as those should have been given in your feedback during the Creative phase.* Your management plan should begin during this phase.

🚀  PHASE 3: LAUNCH

We prepare to launch your new website with some internal final reviews and basic SEO (search engine optimization). If you don't already have one, we'll help you register a domain name and do some final touches to take your new website live on the internet for all to see!

📊  PHASE 4: MARKETING

If you have other marketing options selected in your plan, we continue to work on integrating and activating all of your marketing, Connect solution, review & reputation management, social media content, SEO continued work & so on.

🎨 MAJOR & MINOR CHANGES: UNDERSTANDING

*Our website design process is structured into distinct stages to ensure your project stays on schedule and within budget. We begin with the Creative Phase, which is your opportunity to collaborate on the big picture, explore ideas, and approve the overall layout, style, and concept of your site. Once you give us the green light, we transition into the Design Phase to build and finalize the website. Because our team is actively coding based on your approved concept, only minor refinements—such as updating text fields, business hours, or swapping similar images—can be made during this stage. Major structural changes to the layout, color palette, or sections cannot be accommodated in Phase 2 without requiring our team to halt production and push the project backward. Making major revisions means we must put your project back into the Creative Phase queue, placing it behind current projects already in that stage. We will then need to rework the creative concept and wait for your formal re-approval before it can advance. Once re-approved, the project moves back into the Design Phase, where it will once again fall in line behind existing projects already in that stage. Because of this, requesting major changes during the Design Phase will incur additional design fees and can delay your website's previously estimated timeline. Finally, once the Design Phase is successfully completed, our team conducts a thorough internal review to ensure everything is perfect before preparing your site to move into the Launch Phase.

HOLD STATUS: UNDERSTANDING

Please keep in mind that at any point during this process, if there is a significant enough delay from our team receiving information, content, or task(s) from you (the client), that your project may go into a "Hold" status. This means that your project will be taken out of it's current stage and put on hold until we have received such content/info from you, or you have fulfilled the task(s) needed to proceed. Once those hold status tasks have been completed by or received from you, your project will enter back into the work order queue at the stage it previously was, or the new stage that it now belongs, however, it enters at the bottom of that stage, under other projects that were currently active in that stage. This can add extra time to a previously quoted time estimate and will most likely delay the project completion estimate. After a project has been delayed due to being put on a hold status, it can be difficult to give a new estimate for project completion, as it now enters that stage anew, underneath other projects that were already currently active in that stage. Please understand that your project is still a priority for our team, but we have other clients and projects that are also being worked on, so this is the best practice for our team to focus on active projects and make all clients a priority, respectively to which ones are active and quickly cooperating. That being said, your swift cooperation and communication with our team is appreciated and will help your project stay on course to try to keep up with the time estimates previously given.

🖥️ WHEN IS THE WEBSITE "LIVE" ONLINE: UNDERSTANDING

When we say a website is "live" online, it’s important to understand that there are actually two key stages of this. The first is during our Creative phase, when the website layout or concept is fully functional and accessible online for viewing and review. At this point and furthermore, the site is truly live, and our plan billing typically begins around or just after this phase. To continue accessing the website and its features beyond this point, payment for the chosen plan must be completed, as ongoing hosting and maintenance depend on an active plan. The second "live" stage occurs when your domain name is pointed to the live website, meaning visitors can access your site using your personalized web address. Although the website has already been live and accessible during the Creative phase, this step connects your domain to that live site design, making it officially yours on the internet. Please note that your domain will only be pointed to the website after any applicable plan charges have been settled to ensure uninterrupted service.
